Rental Policy and Rules

Eligibility:  Military personnel (active duty and retired) and their family members, DoD civilian employees, Reservists and National Guard (on duty) are eligible to check out equipment.  Please be prepared to present your ID card.

 

General Policies and Procedures:  Recreation Rental is designed to provide recreation equipment and supplies for the off-duty enjoyment of Luke AFB personnel and their families.  All prices are subject to change.  All rental fees are due at time of pick up, prices are subject to change.  All large rental items i.e. watercraft and camper trailers, etc. require a security/cleaning deposit at time of rental (see below).  The following rules and conditions apply:

 

Reservations:  Reservations will be accepted on watercraft, campers, generators, canopies, 50 or more chairs, 10 or more tables, carpet cleaners, and other large items.  Active duty personnel and their family members may reserve equipment six months in advance.  All other categories of eligible personnel may reserve equipment four months in advance.  Reservations are best made in person to ensure accuracy of equipment and quantities rented.  50% of the total dollar amount on the bill is required as a deposit on items listed above.  If you must cancel a reservation, you must do so at least 5 business days prior to your pick up date or your deposit will be forfeited.

 

Periods of Issue and Fees: Items are issued on daily, weekend, holiday weekend, and weekly basis.  The daily fee is based on pick up one day, return the next.  The weekend fee is based on a Friday pick up and a Monday return no later than 3 p.m.  The holiday weekend fee is based on a Friday pick up and a Tuesday return no later than 3 p.m.  The weekly fee is based on a 7-day period which begins the day of checkout.  Weekly equipment rentals must be returned no later than 3 p.m. on the 7th day.  Equipment may be checked out for a maximum period of 10 days.  The Outdoor Recreation director may authorize longer rental periods.  All charges for late fees, or damage, must be finalized at the time of equipment return.  Note: Campers and Watercraft may not be issued from 12:00pm - 1:00pm depending on available personnel, call for personnel availability if you plan to use lunchtime drop-off or pick-up hours.

 

Late Fees:  Items returned after 3:00 PM on the due date are considered delinquent.  Customers will be charged the normal rate for each day the item is overdue in addition to a late fee of $2.00 per item, per day.  If circumstances arise that prevent a customer from returning equipment on time, a phone call to Recreation Rental explaining the problem may prevent delinquent charges.  We will make an attempt to contact the customer on the first business day after the item is due and remind them of their obligation to return the item(s).  If necessary, we will take further action to reclaim the equipment, including contacting the First Sergeant or Commander.

 

Condition of Equipment: Equipment is in a serviceable condition (clean, dry, and undamaged) at checkout.  Equipment is expected to be in the same condition upon return.  All items must be clean and in good condition before they will be accepted for return.  There are no exceptions to this policy.  We recommend inspecting equipment thoroughly at check out before leaving our facility and reporting any problems to rental personnel if a replacement issue is necessary.  If a replacement isn't available and the customer still want’s the item all discrepancies will be noted on your receipt.

 

Lost or Damaged Equipment: Customers are responsible for the equipment checked out to them and should ensure their safety so that they are not lost, stolen or damaged.  If equipment is lost, stolen or damaged, the customer is held financially liable.  Upon signing  Loan Receipt, the customer acknowledges receipt and responsibility for items listed on the rental form.

 

Deposits/Vehicle Specifications:  All reserved equipment requires a 50% deposit.  There will be a $150.00 damage/cleaning security deposit on all camping trailers and boats.  It is the customer’s responsibility to ensure their vehicle meets towing capabilities.  If the customer’s Personally Owned Vehicle (POV) does not meet the towing requirements (2” ball, ball height inches, flat-4 working electrical connections, etc.) the customer forfeits their deposit at 3:00pm.  If there are any questions concerning this policy ask our staff prior to rental.
